Migrating From QuickBooks Desktop to QuickBooks Online

Intuit is sunsetting Desktop for most contractors. Here's the real migration playbook — timing, what migrates cleanly, what breaks, and the FSM compatibility impact.

Why This Migration Is Forced

Intuit has been steadily sunsetting QuickBooks Desktop. Desktop Pro and Premier subscriptions for new customers have ended in the US (current subscribers get extended runway, but new licenses are gone). Enterprise remains for now but Intuit is pushing everyone to QuickBooks Online (QBO).

For contractors, this is non-trivial — many FSMs (FieldEdge especially) historically integrated more deeply with Desktop than Online. Your migration decision impacts your FSM choice and vice versa.

Timing

  • If you're still on Desktop and current: You have 1-3 years of runway depending on your version. Plan a 6-month migration window.
  • If you're starting fresh: Go straight to QBO. Don't buy used Desktop licenses.
  • If you're on Enterprise: Still supported. No urgency.

What Migrates Cleanly

  • Customer + vendor lists
  • Chart of accounts
  • Open invoices + bills
  • Items / products
  • Past 2-3 years of transactions (Intuit migration tool handles this)

What Breaks

  • Custom reports. QBO reporting is weaker. Rebuild your saved reports from scratch.
  • Job costing depth. Desktop's job costing was richer. QBO Plus and Advanced added improvements but you may lose granularity.
  • Memorized transactions. Convert to recurring transactions manually.
  • Multi-currency. Behaves differently in QBO.
  • Inventory. If you carry truck stock, audit the inventory tracking conversion carefully.
  • FieldEdge two-way sync. Switching to QBO changes the sync. Re-test before going live.

The FSM Impact

  • Jobber, Housecall Pro: QBO sync is mature. No issue.
  • ServiceTitan: Integrates with both, but their preferred path is now QBO.
  • FieldEdge: Historical QB Desktop integration was the killer feature. The QBO sync exists but contractors report it's weaker. Re-evaluate FieldEdge vs alternatives at this junction.
  • Buildertrend: QBO works; Desktop is being phased out of their roadmap.

30-Day Migration Plan

  1. Week 1: Run Intuit's "Test Your Conversion" tool against a copy of your Desktop file. Document what came over wrong.
  2. Week 2: Close out the current month in Desktop. Reconcile all accounts.
  3. Week 3: Run the migration on a clean cutover date (1st or 15th). Verify balances tie out.
  4. Week 4: Train your team on QBO. Reconnect FSM integration. Run parallel for 2 weeks.

Alternatives to QBO Worth Considering

  • Xero: Cleaner UI, similar price. Some contractors prefer the bank reconciliation flow.
  • FreshBooks: Best for sole proprietors doing invoicing-first work. Lighter accounting.
  • Wave: Free. Light on construction job costing. Fine for solo with simple needs.

For most contractors with FSM integration needs, QBO is the path of least resistance — every FSM supports it.
